How We Automated a Tedious SAP Ariba Workflow Using Power Automate and Microsoft Teams

Just imagine this picture.

A client came to me. It’s a huge, respectful international corporation. And they said:”We got some new business process automation implemented. We need expert to verify, validate and improve where possible.”

My response was: “No problem. Let’s take a look.”

I thought it will be just validation with a couple of recommendations that will be relatively fast to implement/change and go further.

I got access, I logged into their systems ready to look and that fully implemented integration.

And I saw what, you guess?

NOTHING!

I asked their admins to search across all environments, even in the recycle bins. No success.

So the only way to make this thing done was to implement it from scratch.

My Philosophy: Don’t Just Build. Build Better.

My job was no longer to ‘review’. It was to ‘resurrect’. And I decided not just to repeat their plan, but to make it smarter, safer, and more stable.

First, I became a detective. I deep-dived into all available docs and requirements. I communicated with managers and experts to understand the real pain they wanted to solve.

Then, I started the implementation with three key improvements:

  1. To improve the user experience, I added popup notifications on each action. No more confusion. Users now know what’s happening.
  2. To ensure long-term stability, I built a system designed to last. I added maintenance flows to manage resources and a “filekeeper” flow to prevent future data overloads. This system is built to work without manual interventions for at least 4 years.
  3. And finally, I didn’t just deliver the code. I delivered the value. I scheduled a meeting with users, showed them how the new process works, and how it saves their priceless time.

The Result: From Chaos to Control
